Terms and Conditions (aka the boring but necessary bits)
Please grab a cup of tea and read, by booking with us, it will be considered you are fully conversant with and have agreed to all the below Terms and Conditions.
Booking / Payment Method
Reservations can be made via phone or email. For glamping and touring / camping bookings, a deposit of 15% will be taken directly with Lee Wick Farm (this may differ if booked with a third party booking partner) to confirm the booking which is non-refundable. For cottage bookings a deposit of 25% is required at the time of booking. This is non-refundable. The remaining balance is due 4 weeks in advance of your arrival date, it is your responsibility to pay this on time using the secure payment link emailed to you.
If booking by voucher, please email email@example.com book and confirm the voucher code and value in the email, or book online directly via our website and enter the voucher code in the box on the web page when prompted. We reserve the right to cancel the booking if payment is not received on time.
All bookings that fall within 28 days are payable in full at the time of booking.
Breakages / Damages / Noise
We hold a pre-authorisation charge for all glamping bookings:
If you are over the age of 25, this will be £50.
If you are between the age of 21 – 25 the charge is £100.
If you are between the ages of 18-21 the charge £150.
We do not accept bookings from anyone under the age of 18.
Proof of age may be required, if you are under 25 please email before booking.
We do not accept group bookings from anyone under the age of 25.
The pre-authorisation amount is held against your payment card three days before arrival for the duration of your stay in case of any breakages, damages, noise complaints or if excessive cleaning is required after your stay. If any breakages or damage has occurred during your stay, please kindly inform us as soon as possible, you may be charged for damages or additional cleaning that may be required. If we receive anti – social behavior or noise complaints you may lose some or all, of the pre-authorised amount and may be asked to leave. The pre-authorisation is released 3 days after the day of your departure. It is not a payment.
In all cases lost or damaged keys will attract a £20 charge without exception.
If you are at a property which includes a hot tub, it is absolutely essential that you do not attempt to use the burner part (as a heating source/ fire pit) as doing so when the hot tub is empty, will cause irreparable damage to the burner and result in the cost of replacement being borne by you.
Breakages / Damages / Noise
For cottage bookings, we require a refundable damage deposit of £300 for bookings in The Cart Lodge and £175 in Stable Cottage. For bookings placed before 20th September 2018 this is collected at the same time as the balance due for the booking, 28 days before arrival. All being well this is authorised back to you within 7 working days after your booking and depending on your bank available to you 2 – 7 working days later.
For cottage bookings made after 20th September 2018, the pre-authorisation / refundable damage deposit amount is held against the retained card details for your booking 7 days before arrival for the duration of your stay in case of any breakages, damages, noise or anti-social behaviour complaints or if excessive cleaning is required after your stay. If any breakages or damage has occurred during your stay, please kindly inform us as soon as possible, you may be charged for damages or additional cleaning that may be required. If we receive noise or anti-social behaviour complaints you may lose some or all, of the pre-authorised amount and may be asked to leave. If we are unable to collect this pre-authorisation via the retained charge card details, we will contact you to take alternative details. The pre-authorisation is released 7 days after the day of your departure. It is not a payment.
In all cases lost or damaged keys will attract a £20 charge without exception.
Damage / Noise
Touring / Camping bookings:
If any breakages or damage has occurred during your stay, please kindly inform us as soon as possible, you may be charged for damages that may be required. If we receive noise or anti-social behaviour complaints, you may be asked to leave.
No music outside in the evenings please or loud noise after 11pm.
In the event of cancellation more than 28 days before arrival, you will lose your deposit fee. Any cancellation made 28 days or less than arrival will result in the entire rental amount being forfeited. If we can re-sell you booking, you will just forfeit your deposit.
We offer no guarantee we can re-sell your booking, if we do re-sell some, or all of your cancelled dates any refund will be subject to an administration fee of not less that £10.
We strongly recommend you take out holiday insurance for this purpose.
If for any reason you decide to arrive later, or leave earlier than the booked dates, Lee Wick Farm Cottages and Glamping will retain all monies paid by you and no refund will be considered.
You are strongly advised to purchase holiday insurance to avoid any loss in the unlikely event of you having to cancel.
If for any reason beyond the proprietor’s control, such as (but not limited to) fire, flood, power failure, your booking has to be cancelled, all monies paid will be returned to you, or you may book an alternative date, or receive a gift voucher. If for any reason you need to alter your booking dates, every effort will made to accommodate this and an administration fee of £10 will be charged in all cases.
However, alterations within 28 days of arrival are deemed a cancellation and as such our cancellation policy will apply.
If you have an issue on arrival text or call 07718 403348 and leave a message. We will try and remedy the situation or answer your question as soon as possible.
We hope you enjoy staying with us but if you have a complaint about the property, in the first instance as soon as possible, please contact via phone (01255 823281 office hours or 07718 403348) and leave a message or text, or email firstname.lastname@example.org. We shall endeavour to make every effort to rectify any faults or make repairs to equipment as soon as possible. Guests have a legal obligation to mitigate their loss. If we are denied the opportunity of investigating any complaint within a reasonable time or denied the opportunity to put matters right during the stay, then the guest will waive all rights.
We will do our utmost to ensure any problems are resolved quickly, however we cannot be held responsible for any such breakdowns or loss.
Any rudeness or abuse to staff will not be tolerated.
Arrival and Departure times:
Arrival to the Pods is from 2pm onwards and departure is by 11am. Please do not arrive before 2pm as there will be cleaning and maintenance being carried out. We reserve the right to charge for late departure. Earlier arrival and later departure may be possible but only by prior arrangement by email only (not text message, phone call or social media messaging), not after arrival.
Late departure after 11am, which has not been agreed prior to arrival, will incur a £20 charge.
Access codes for the Pods will be provided prior to arrival, if you have not received this information before setting off for your stay, please contact us as there maybe no one on site when you arrive.
Arrival to the cottages is from 3pm onwards and departure is by 11am. We reserve the right to charge for late departure. Earlier arrival and later departure may be possible but only by prior arrangement (not text message, phone call or social media messaging) before your booking commences.
Late departure after 11am, which has not been agreed prior to arrival, will incur a £20 charge.
Access codes for the properties will be provided prior to arrival, if you have not received this information prior to setting off for your holiday, please contact us as there maybe no one on site when you arrive.
Touring / Camping guests:
Arrival and departure time is midday please. An earlier arrival, or a later departure may be possible, but only by prior arrangement before your day of arrival.
We do not accept liability for injury or loss of life to any person within the premises. It is your responsibility to make sure you and your children are safe in the properties and around the hot tubs at all times. We do not accept liability for loss or damage to any property or vehicle brought onto the premises. We recommend that the customer takes out his own private insurance as required.
Occupancy in Cottages and Glamping properties plus Touring and Camping:
The CargoPods and MegaPods sleep a maximum of 2 adults only, or 2 adults and 2 children.
The Armadillas sleep up to 2 adults only. Strictly no children are permitted in the Armadilla area.
The Lushna Classic and Lushna Lux Suites sleep 2 adults only
The Lushna Mezzanine and Lushna Petites, sleep either 2 adults only or 2 adults and 2 children.
The Cart Lodge sleeps a maximum of 12 people.
Stable Cottage sleeps a maximum of 7 people.
A maximum of 2 adults and 3 children per pitch / booking.
There are two touring pitches and three camping pitches.
There are no exceptions in any circumstances to these occupancy rules.
Guests found flouting these rules will be asked to leave and will forfeit all sums paid.
Hot Tub Terms and Conditions and Health and Safety:
It is up to you to book and pay for the hot tub, if you wish to book the hot tub please double check your booking confirmation. It is not possible to book the hot tub on the day of arrival under any circumstances. It must be pre-booked and paid for a minimum of 2 days before arrival.
We provide sufficient logs for the use of the hot tubs and not for the fire pits for the duration of your stay. If you wish to use the fire pit we recommend that you either purchase logs from us in advance or supply your own. If you run out of logs for the hot tub then it is your responsibility to purchase more. You may be able to purchase logs from the Nisa store on Point Clear Road (left out of Lee Wick Lane, then 400m on the left-hand side).
Instructions for lighting the hot tub are provided and it is your responsibility to do this.
We do not light it for you and no refunds will be given if you have issues lighting / heating the hot tub.
No refunds will be provided in the case of inclement weather or other factors beyond the owner’s control, however if you have booked a hot tub and decide a minimum of 2 days before arrival, that you wish to cancel the addition of the hot tub, perhaps because inclement weather is forecast, we will refund the sum paid for the hot tub, less a £10 administration fee.
We want you to relax and enjoy the log fired hot tub at Lee Wick Farm so please read the Terms and Conditions below. We don’t want to scare you from using the hot tub, but we take health and safety very seriously and awareness of the key points below is very important.
- The hot tubs are for the sole use of occupants of the CargoPods and Lushna Mezzanine Suite, for up 2 adults and 2 children, or 4 adults only.
- MegaPod’s 1, 2 and 3 and the Lushna Petites with hot tubs are for up to 2 adults, or 1 adult and 1 child at a time.
- The Armadillas and Lushna Suites numbered 10, 11 and 12, for 2 adults only, strictly no children anywhere within the Armadilla area or at Lushna Suites numbered 10, 11 and 12.
- The Hot tub at Stable Cottage is for a maximum of 5 people.
- The use of the hot tub is entirely at the risk of the booking party.
- Parents must always supervise children in and around the hot tubs.
- Children under 5 are prohibited from using the tub as high temperatures can affect little ones much quicker than adults.
- An adult must always accompany older children and enforce the rules of safety.
- For children under 16 the temperature should be a maximum of 36 degrees C and they shouldn’t stay in the tub for longer than 10 minutes at a time.
- Maximum temperature for adults without a health condition or pregnant should be 40 degrees C, but we think 39 degrees C is perfect! Cooler still in the summer months.
- Never use the hot tub alone.
- Anyone with existing medical conditions should consult with a doctor before using the hot tub.
- Pregnant women should consult with a doctor before using the hot tub and the temperature kept cooler (36 degrees C) and time in the hot tub shorter.
- If anyone begins to feel unwell be sure to leave the hot tub immediately.
- People with skin, ear, genital, or other body infections, open sores or wounds should not use the hot tub due to the possibility of spreading infection or irritating the existing condition.
- Do not immerse your head in the hot tub water.
- Never use the hot tub while using or after using narcotics or other drugs that may cause sleepiness or raise / lower the blood pressure.
- A relaxing glass of wine is fine but do not drink to intoxication.
- The heat of the hot tub can speed up the effects of alcohol.
- We recommend drinking plenty of water whilst using the hot tub.
- Do not use floating candles in the hot tub as the wax marks the wood.
- Do not add fish to the hot tub (yes this has happened!).
- Never use glass receptacles in or around the hot tub, please use plastic glasses only. Broken glass is difficult to see in the hot tub water and broken glass and bare feet don’t mix!
- Do not use the burner part of the hot tub without the hot tub being full of water.
- Do not use electrical appliances in or by the hot tub.
- Avoid using the hot tub immediately after a heavy meal.
- Please shower before use and remove fake tan.
- Take care when entering or leaving the hot tub as leg muscles may be relaxed and feel unsteady and the decking can be slippery when wet.
- We reserve the right to close the hot tub if conditions turn icy during winter, or if for maintenance reasons the hot tub cannot be used, guests will be offered a refund or alternative booking.
- If any fault or damage occurs with the hot tub at the earliest convenience contact us on 07718 403348 and leave a message or text.
- Please make sure the cover is left on and secured after use, if you fail to do so and the hot tub is damaged the cost of repairs will be passed on to you.
Smoking or vaping is not permitted inside any of our accommodation, or in the hot tubs. Please make use of our wall-mounted ash-trays outside each property to discard your cigarette ends.
A maximum of two well-behaved dogs are permitted in the cottages.
For glamping bookings, a maximum of one dog only is permitted in each of the Armadillas, MegaPods, and Lushna Suites and Petites.
Two dogs are allowed in the CargoPods.
There is a charge of £10 per dog per booking for glamping and cottage bookings.
We allow a maximum of two dogs per booking for camping or touring bookings for no additional charge.
We must be advised in advance if you are intending to bring dogs and we must know their breed type.
Dogs must be on leads at all times around the site.
Dogs are not permitted on the furniture / beds. Please bring your own dog beds to discourage dogs off the furniture and do not leave dogs unattended in the pods or cottages at any time. You are responsible for removing any mess left by your animal by bagging it and putting it in the bins provided. Your dog must be kept on a lead and under control at all times and not become a nuisance to others.
We reserve the right to charge via your deposit for cleaning up any dog mess, or damage caused by your dog.
We cannot accept in accordance with the Dangerous Dog Act 1991, any dog known as a Pit Bull Terrier, Japanese Tosa, Argentino, Fila Braziliero, or any dog used for fighting, or has the appearance of a dog used for fighting or must legally wear a muzzle.
We hope you enjoy staying at our accommodation and ask our customers to leave the properties in a clean tidy condition and locked securely when you go out. Glamping guests, are asked to leave the property locked and the key in the secure key box where you found it when you leave.
Cottage guests please leave the properties locked when you leave.
Touring paddock guests, please make sure the gate to the paddock is chained and locked after your departure.
We ask all our guests to please remember there are other guests staying in adjacent properties and therefore be mindful of noise and anti-social behaviour. No music outside in the evenings please or loud noise after 11pm. Guests will be asked to leave if this request is not adhered to, or complaints are received. Please note none of the neighbouring residential properties are associated with the business, so please call and leave a message on the mobile number (07718 403348) in the first instance if you have an issue or query. Please do not call at adjoining properties for information or directions.
Any damage to items, furniture and fixtures will be charged for via your deposit.
Please note drones are not permitted to be used at any time on site without the permission of the owner.
Subject to availability, for glamping bookings, fishing passes cost £10, these are free of charge to cottage guests. Please add a fishing pass when booking online and once confirmed this will be attached to your booking confirmation. Please make sure you print it and bring it with you as you will not be able to fish without the pass. Please ensure you read and understand the fishing club rules provided.
In Case of Fire
On discovering a fire anywhere on the site, (if safe to do so please extinguish with fire extinguishers provided). Evacuate immediately and alert any other guests nearby if safe to do so. If necessary,raise the alarm by shouting‘Fire, Fire, Fire’. Please call 999 immediately and report the location as Lee Wick Farm, Lee Wick Lane, (off Point Clear Road) St Osyth CO16 8ES. Thereafter please call the owner Robert Clarke 07718 403348
Due to the adjacency of horses and guests bringing dogs to the Pods, Lushnas and cottages the use of fireworks or Chinese lanterns anywhere on the site is strictly not permitted.
When horses are using the ménage, we would be very grateful if children and pets are kept at a distance, due to sudden movement or noise spooking the horses. Please do not feed any of the horses, or venture in to the stable areas without permission and do not enter any of the paddocks with or without horses in.
There is no lighting at night, which is wonderful for wildlife and nature watching. We have some very friendly ducks on site, which waddle around during the day (generally following Jan our house keeper) but please don’t invite them in to your accommodation, you can of course leave some water out for them. You might also see Pheasants, Owls, Little Egrets, Curlews and even Marsh Harriers. Hares can be spotted in the fields at times of the year and of course the natural habitat encourages bees amongst the flowering hedging and depending on crop rotation, Thunder flies which may be more prevalent around harvest time.
Return of Personal Belongings
For left belongings you are required to pay the cost of returning any items to you, plus an administration charge to cover the time involved doing this. You may of course arrange to collect any items from us at your earliest convenience. Left items will be kept for a period of 1 month after departure and thereafter disposed of.
Breach of these terms and conditions
If you, any other person in your party or people visiting you during your stay commit a breach of these Terms and Conditions, the owners of Lee Wick Farm Cottages & Glamping have the right to terminate your booking and may require you to vacate the property immediately and no refund of the fees you have paid will be returnable to you.
All personal information supplied to us by you will be treated in confidence by Lee Wick Farm Cottages and Glamping and will not be disclosed to any third parties except where your consent has been received or where required by law. In order to provide you with a service, this information will be held in the data systems of Lee Wick Farm Cottages and Glamping. Only persons permitted to access your information are those employed or authorised by us.
